Job Description

We are looking for a Project Coordinator to provide exceptional support to a division and its manager(s) to ensure smooth daily functioning of the organization.

POSITION DESCRIPTION:

We are looking for a team player who is proactive and self-motivated to process administrative items, organize company activities, handle projects, and much more.

Competencies

Assist with subcontractor prequalification as assigned
Verify contractor and business license in place prior to project commencement
Assist with obtaining building permit
Create and distribute assigned correspondence – memos, group emails, transmittals, letters, etc.
Miscellaneous scanning of documents to project folder
Obtain quotes/proposals for uncommitted trades specific to region – soil poisoning, final clean, etc.
Collect, scan and email approved invoices to project accountant(s)
Assist with compiling expense reports
Copy, collate, scan and distribute Applications for Payment in accordance with contract requirements Provide assistance in the preparation of reports and other materials for monthly OAC Meetings
Assist in the collection, tracking, and compilation of project close out documents
Arrange and coordinate travel accommodations

Collaboration

Schedule, invite attendees and make arrangements for various project meetings – kick-off, schedule development, etc.
Assist in the preparation of Submittal & Material Status logs and follow up on shop drawings, submittals, samples, etc. that are due according to prepared Submittal Register in Procore
Assist in the preparation of certain RFI’s; follow-up on overdue RFI responses
Assist with preparing change order proposals (RPC’s) – distribute drawings revisions, follow-up on responses from subs/vendors, setup RPC folder and documents
Assist with creating and distribute subcontractor change orders
Assist with arrangements for sales outings, conferences, and other related events and aid in preparation of sales packets for distribution; materials for sales conferences
Assist with Superintendent Weekly Project Update to Project Team

Continuous Improvement

Provide assistance to subcontractors and vendors regarding Textura processes and ensure all remain compliant – executed subcontract/PO, bond, insurance, W-9, etc.
Perform research and prepare results as assigned

Leadership Development

Handle, coordinate and initiate projects as assigned.
Utilizing R&M’s Performance Management system, SuccessFactors, set personal & professional goals, communicate them with your leader, strive to reach those goals.

Learning Culture

Participate in R&M learning and development opportunities.
Lead by examples to those less senior or less experienced than yourself.

Job Qualifications:
WHAT YOU BRING TO THE TEAM: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job)

High School Diploma (or GED or High School Equivalence Certificate) required. Associates Degree or higher education preferred.
Five (5) years’ experience as an administrative assistant, project coordinator or similar, preferably construction experience.
Ability to read and speak English.
Ability to write in a professional business manner.
Basic ability to read and interpret construction documents, general business periodicals, technical procedures.
Ability to organize and present information.
Superior interpersonal abilities.
Ability to get along with diverse personalities, tactful, mature, flexible.
Proficient in all Microsoft Office programs.
Experience with Procore, Textura and any other project management software is beneficial. If not, must possess core competency to quickly learn new programs and applications.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule format. Ability to solve practical problems and deal with a variety of concrete variables in situations.
Notary Public Commission preferred.
