Job SummaryServes as Executive Support Specialist for the Director and Associate Director of the Alabama Cooperative Extension System and plays a critical role in ACES by providing high-level administrative work relating to management of complex projects, meetings, and events involving significant preparation of reports and presentations, exercising decision-making authority and planning. The Executive Support Specialist must be able to make independent decisions using knowledge of university and ACES policies and procedures and analyzing and resolving situations based on significant knowledge of the Director and Associate Directors priorities. Compiles complex information and prepares reports, presentations, meeting minutes, and drafts original and routine correspondence; retrieves and disseminates information to a wide variety of internal and external stakeholders; providing general and specialized administrative support of the Director and Associate Director; receiving visitors and calls from internal and external stakeholders; disseminating information; plans and coordinates complex meetings, events, and detailed travel arrangements and itineraries; directs preparation of records such as agendas, notices, and minutes; exercises considerable independent judgment about multiple demands on the Director and Associate Director’s time, and coordinates planning with other leadership in ACES and across campus; prioritizes issues and concerns that are received through emails, telephone calls, mail and direct visits by internal and external constituents; presents issues and concerns proactively to the Director and Associate Director based on priority; exercises discretion concerning highly sensitive and confidential information; may be responsible for monetary expenditures at unit level and may perform numerous administrative duties including, but not limited to travel reservations, expense vouchers and invoices, contractual agreements, supplies, staffing correspondence, and heavy scheduling.
Minimum QualificationsEntry into the applicant pool at the level I requires a high school diploma or equivalent plus four (4) years of experience performing administrative support services. Employer will consider advanced degrees in lieu of experience. The salary range for level I is $28,000 – $46,700.

Level II requires a high school diploma or equivalent plus six (6) years of experience performing administrative support services. Employer will consider advanced relevant degrees in lieu of experience. The salary range for Level II is $31,300 – $52,100.

The successful candidate will perform all duties with professionalism and exercise discretion concerning highly sensitive and confidential information.

Candidates should possess well developed written communication skill and interpersonal skills enabling them to deal creatively, confidently, and professionally with a wide variety of individuals; and can take initiative, work independently and manage multiple projects.

The successful candidate should have strong computer skills; Proficiency in MS Word, PowerPoint, Excel and Outlook.

Knowledge and experience of fundamental concepts, practices and procedures in general office operations is required. A willingness to accept feedback and criticism; and the ability to pivot as strategic direction changes.
