Job Summary
Coordinates day-to-day operations of academic and alumni related programs and services for Alumni and Professional Affairs in the Clinical Affairs and Outreach division (CAOOAPA) of the Harrison School of Pharmacy.

Essential Functions
This position will be responsible for the following:

- Assist in the planning, design, developing, and execution of academic related
programs/groups/services. This includes but is not limited to live and virtual post-graduate courses and programs and CAO alumni and professional affairs events.

- Coordinates a variety of administrative program support for all CAO and OAPA
events and programs. Responsibilities including but not limited to, room reservations, registration for programs, communication efforts, filing, evaluating programs, and processing documents as needed. Communicate with internal and external stakeholders.

- Coordinate and confirm logistical details for all programs and events.

- Collect and process all relevant documentation to ensure compliance in all programs and events.

- Ensure all continuing education participants receive certification. Maintain instructional website. Correspond with attendees as needed. Circulate and collect evaluation forms and generate any necessary reports.

- Organize and coordinate special event logistics for HSOP’s Dean’s Office including White Coat Ceremony and Graduation.

- Provides and ensures excellent service and problem resolution in an effort to promote the program. Contribute to the strategic goals of AU, HSOP, and CAOOAPA.

- Maintains relevant databases to ensure accurate and accessible records. Assist with generating reports on all CAOOAPA activities, programs and events, including accreditation reports, annual reports, financial reports and budgets.

- May prepare, review and edit an assortment of communications through various media outlets. Assist in developing a marketing plan. Write, review and edit marketing materials that may be shared in a variety of platforms. Collaborate with HSOP’s Marketing Manager to prepare press releases, advertisements, electronic communications and social media posts. Ensure that news and updates are shared for posting on HSOP’s master calendar, newsletters, monitors and websites.

- Perform a variety of clerical duties, including but not limited to, answering phones, monitoring email accounts, composing correspondence, scanning and/or filing, data entry, record keeping, processing forms, maintaining calendars, scheduling events, distributing mail, completing expense vouchers. Serve as administrative support for CAOOAPA’s Director of Alumni and Professional Affairs and Administrator III, Academic Programs.
